Summary

 

The Rose Kennedy Greenway Conservancy is seeking a highly motivated individual for a full-time position as Director of Finance and Administration. Overseeing the Finance, HR , Administration, and IT functions, the Director is a critical member of the leadership team, helping to shape the Conservancy as it manages complex financials and incorporates new stakeholders and funders while elevating the work of the entire Conservancy through comprehensive operational support. The Greenway’s financial operations involve a diverse mix of public, private, and Business Improvement District (BID) funding, requiring careful management of multiple revenue streams and compliance with varying regulatory and reporting requirements. Responsibilities

 

Finance & Accounting

 

  • Oversee and provide insight into ongoing Financial and Accounting operations, ensuring proper treatment and accuracy.  Execute strategies for new, potentially complex, initiatives.
  • Provide financial analysis for ongoing and new directives.
  • Track and reconcile all revenue streams and investments. 
  • Prepare clear, accurate, regular, and ad-hoc financial reports for various audiences and stakeholders. 
  • Ensure compliance with any and all financial and contract reporting requirements.  Lead preparation of quarterly stakeholder reporting.
  • Monitor and improve systems and processes for effective internal controls to ensure safeguarding of assets and reliability of financial statements. Ensure documentation of all operating procedures is maintained on an ongoing basis.
  • Manage preparations for annual financial audit and production of tax filings. 
  • Guide the annual preparation of organizational and departmental operating and capital budgets and mid-year forecasts. Track and update, as necessary.
  • Oversee the review of all receipts and disbursements, including correct account distribution and accuracy of supporting documentation.
  • Collaborate with Committee chairs to staff the Board’s Finance, Audit, and Risk Management Committee and Investment Committee. Oversee preparation of agendas and related meeting materials.
  • Assure that all accounting and related systems are appropriate for reporting, budgeting, and internal control needs; plan and implement changes as necessary.
  • Collaborate with the Development department to track donations, manage grants, oversee restricted funds, and ensure accurate booking, budgeting, reporting, and close-out activities.
  • Collaborate with the Maintenance and Horticulture departments on Capital Projects budgeting and planning.
  • Maintain compliance with funding agreements and update as needed.

 

Department Management

 

  • Hire, coach, manage, and mentor staff that includes 2 direct reports and an overall team of 3 full-time staff and 1 part-time staff. 
  • Prepare and manage the annual department budget and goals for the Finance and Administration budget. 
  • Collaborate with the Human Resource Manager in benefits procurement & administration, the annual organizational review processes, recruitment, onboarding/offboarding processes, employee training, staff events, compliance and policy determinations, coaching, and compensation analysis.
  • Oversee the organization’s payroll process, including processing, benefits, staffing updates,  working with the Human Resources Manager and Accounting staff. 
  • Supervise outsourced Information Technology consultants, and manage support and planning for software and hardware needs as well as space allocations.
  • Oversee the preparation of documents in response to public records requests.
  • Oversee property, liability, and worker’s compensation insurance procurements, compliance, audits and claim processes.
  • Collaborate and coordinate with all other departments to collectively support achieving organizational goals.
  • Present updates at Committee and Board of Directors meetings.

 

 

Skills and Qualifications

  • Bachelor’s degree in Accounting or Finance, or equivalent experience. Master’s degree preferred.
  • At least seven years of successful work experience in Accounting and/or Finance, preferably with non-profits.
  • At least five years experience managing multiple staff and one or multiple departments.
  • HR and/or IT experience preferred.
  • Extensive experience with accounting software (e.g., QuickBooks) and productivity software (e.g., Excel, Google for Work). 
  • Superior demonstrated skills in:
    • Organization, project management and strategic thinking;
    • Managing, mentoring, and advocating for staff;
    • Collaborative leadership.
  • Ability in
    • Multitasking and attention to detail; 
    • Creative problem-solving and staying calm under pressure. 
    • Strong written and oral communication skills, including goal articulation and problem-solving.
  • Experience working in a diverse and inclusive organization is a plus.
  • Computer proficiency, especially in Google for Work.

 

Logistics

  • This is a full-time position with full benefits.
  • Work hours are generally Monday through Friday, but flexibility is required to accommodate occasional evening work.
  • Work will primarily take place indoors in the office, but will occasionally require some time on The Greenway.

 

Compensation and benefits

  • $110,000-$130,000/year
